Role Summary
Join our dynamic and rapidly growing company as a Product Development Coordinator and play a key role in shaping and expanding our innovative Product Development team. In this role, you will coordinate the complete product development lifecycle, ensuring an efficient and effective workflow across multiple teams as we develop new products. A strong candidate for this role will be a motivated self-starter who can confidently push projects through to completion and has excellent organizational skills.
This role reports directly to the Product Development Manager and will interact with our marketing, creative, and product teams, as well as external partners. We are a small team that works quickly and focuses on continuous improvement, so prioritization, strong communication, and proactive problem-solving are essential skills.
Role Location: Remote/ or Hybrid in Ottawa, Ontario
Responsibilities
- Support New Product Development Initiatives: Assist with briefs, organize submissions, track evaluations and feedback, and provide insights based on your knowledge of the body/personal care space, ingredients, and trends.
- Maintain and Organize Documentation: Keep all electronic files and tracking documents for development-related items well-organized.
- Coordinate with Contract Manufacturing (CM) Partners: Follow up on testing and submission samples, including weight claims, PAO, and other product-specific attributes.
- Create New Product Launch Documents: Develop competitive analyses, product briefs, product charts, and formula specifications.
- Facilitate and Analyze Surveys: Create surveys to capture feedback on submission evaluations and consumer preferences/routines, and analyze the results.

Conduct and Organize Consumer Surveys & Trials: Organize and conduct consumer surveys and trials to gather valuable insights.
Research and Report Trends: Track and report on product/ingredient trends, consumer trends, forthcoming regulations, innovation, and competitive activities. - Other Responsibilities as Assigned: Take on additional tasks as needed.
Requirements and Skills
- 1-2 years of product development experience in the beauty industry, ideally in skincare or color cosmetics
- Knowledge of the beauty market and a passion for products, ingredients and how they work
- Familiarity with regulatory affairs, compliance, and required testing within the beauty industry (preferred but not required)
- Strong organization and filing skills
- Sense of urgency
- Proven track record of attention to detail
- Ability to manage multiple responsibilities and tasks with precision and detail
- Ability to work strategically and collaboratively across departments
- Solid problem-solving skills, analytical skills, and business acumen
- Flexible personality to take on new challenges as they come and to switch gears immediately when necessary
- Strong knowledge of MS Suite products (Excel, Word, PowerPoint, Outlook) and project management platforms (strong knowledge of Monday.com platform a plus, but not required)
- Excellent written, presentation and verbal communication skills (French is a bonus!)

We do have staff who work remotely, but our HQ is in downtown Ottawa.
We're still a small, tight knit team. Most of our team is located in Ottawa, Canada, but we now have employees spanning across the world remotely.
To date, Bushbalm is in over 2,300 waxing salons, on the shelves of Ulta, Indigo, Urban Outfitters and more.
We're growing our team and departments at a fast pace. Our most mature departments are Marketing and Product Development.
Other departments that are well established include Operations, Customer Service, Design and Finance.
Our team is primarily headquartered in Ottawa, Canada.
We're open to remote candidates, but would like to hire first in Ottawa, so we can gather easily. In regards to your workday, we are a flex model and allow employees to work remote when they wish.
